When you have sent us an inquiry

E-mail

We use email to perform our work tasks. When you send us an inquiry containing personal information via email, the information will remain stored on our email server until we delete the relevant email. We need to keep our correspondence with you to fulfill any agreements we have with you. We delete emails that we no longer need. We ask that you do not send us sensitive information via email.

Phone

When you call us, your phone number will be stored along with information about when you called and how long the call lasted on our phones. If we need to contact you again to fulfill any agreements we have with you, you can be stored as a contact with your first and last name on our phones.

When you use a contact form or comment field

Comments

When visitors leave comments on the site, the information provided in the comment form, as well as the visitor’s IP address and browser user agent string, are stored to help prevent spam. An anonymous string generated from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After your comment is approved, your profile picture is visible to the public in the context of your comment.

When you create or use a user account

To create a member account with us, we need at minimum your email address and a password to set up the account. A unique username is also created for you. It is voluntary to add more information to your account. The information you provide will be available to us in our database.

By creating a member account, you consent to us contacting you and sending you notifications regarding your user account. You can manage your notifications and subscriptions in the settings on your profile.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract any location data from images on the website.

Direct email inquiries you send are not encrypted. We therefore encourage you not to send confidential, sensitive, or other confidential information via email.

The length of time we store personal data varies. We store information for as long as necessary, or until you ask us to delete information about you. In some cases, we may be required to retain information for longer periods of time.

If you leave a comment, the comment and information about the comment will be stored indefinitely. This is so that we can recognize follow-up comments and approve them automatically instead of queuing them for manual approval by an editor.
